We know that the postponement of the Awards Ceremonies has been disappointing, and we wanted to give you the opportunity this summer to get one of the most important graduation mementos – a professional photo wearing academic robes.

We still plan to hold in-person ceremonies in the future when it is safe to do so, but we think that photos days will be a great opportunity for those international students who may be leaving the UK soon and those who no longer wish to attend an Awards Ceremony but still want their photo, plus anyone who just can’t wait to put up their photo on the mantlepiece!

We’ll be holding photo days between 15–20 June 2021 at various UWE Bristol campuses. These will give you the chance to have a professional photo taken in academic robes, both individually and with up to five guests.

Registration

Photo slots were filled on a first-come, first-served basis. As demand exceeded availability, we will look into organising more photo days later in the year, and will be in touch will all eligible students when more information is available.

Dates and venues

Photo days will be held at the below locations on the given dates:

  • Bower Ashton Campus – Tuesday 15 June 2021
  • Arnolfini – Wednesday 16 June 2021
  • Glenside Campus – Saturday 19 June 2021
  • Frenchay Campus – Saturday 19 June 2021
  • Frenchay Campus – Sunday 20 June 2021

Guests

The maximum number of guests is five per student and all guests must be a part of your household or bubble. When you arrive, you will be directed to pick up your robe, while your guests will be directed to a separate waiting area before you are all called up to have your photographs.

COVID-secure measures

All students and guests must bring a face covering, this will need to be worn indoors at all times except when you are having your photo taken. Hand sanitiser will be available and should be used when you enter the venue. Please maintain social distancing from anyone who is not in your household while queuing and moving around the venue and follow all directional signage to maintain a one-way system wherever possible.

We will be asking all students and guests to scan in using the NHS Test and Trace app, please make sure you have the NHS COVID-19 app downloaded to enter the venue. We are also asking you and your guests to take a lateral flow test and we may ask you for proof of a negative result on arrival. This means you and your guests must prove that you have taken a negative test no longer than 24 hours prior to your arrival. This is to keep everyone safe.

If you or any of your guests experience COVID-19 symptoms before/on the day of the photo day do not attend the event. Please follow the instructions on the NHS website about what to do if you have symptoms.

On the day

Arrivals

Please arrive no earlier than 15 minutes before your booked slot – this will ensure we can keep campus COVID-19 secure and reduce the number of people on site at any one time. You will be able to pick up your robe and get dressed while your guests wait in an allocated space. You will then all be called into the photography area when the photographer is ready for you.

Photo slot duration

You will be asked to book a 20-minute photo slot but it is likely it will only take about five minutes to have your photos taken.

After your photo

Unless you have a specific reason to stay on campus we would encourage everyone attending a photo day and their guests to leave campus straight after their photo in order to reduce the additional number of people present on campus at any one time.

Robes

If you would like to take some of your own photos on campus after your professional photo you will be able to do this and then return the gown before you leave. Alternatively, when you register for the photo day there will be an option to pay extra and take the gown home with you from the photo day for five days. The extra payment will include a return bag with paid postage. There will be mirrors available for students in the robing area.

Bower Ashton Campus

Location 

The Bower Ashton photo day will take place in G Block. See a map of Bower Ashton Campus. When you arrive there will be signage and staff indicating which entrance to use.

Travel and car parking 

There will be limited free (no permit required) parking at Bower Ashton. Please use the South Car Park entrance as shown on the Bower Ashton Campus map. To ensure we have enough parking for all photo day attendees please minimise the number of cars you bring by sharing with your guests where possible. If there are no parking spaces available at Bower Ashton Campus, then you can use the Ashton Court Estate pay and display parking on Kennel Lodge Road. Please note there is a 5-10 minute walk from the Ashton Court Estate carpark to Bower Ashton Campus.

Arnolfini

Location

The Arnolfini photo day will take place in the Main Auditorium. When you arrive there will be signage and staff indicating which entrance to use.

Travel and car parking

There is no car parking available at Arnolfini. Please see the Arnolfini website for more information about how to travel to Arnolfini and the nearest public parking.

Glenside Campus

Location

The Glenside photo day will take place in the Hub café. When you arrive please take the path opposite the Students’ Union, past the roundabout, heading towards E block. There will be signage and staff indicating which entrance to use to enter E block. See a map of Glenside Campus.

Travel and car parking

There will be free (no permit required) parking at Glenside Campus - please park in Car Park 10 or 11 as shown on the Glenside Campus map. To ensure we have enough parking for all photo day attendees please minimise the number of cars you bring by sharing with your guests where possible.

Frenchay Campus

Location

The Frenchay photo day will take place in the Sports Hall at the Centre for Sport. See a map of Frenchay Campus. When you arrive at the Centre for Sport car park, there will be signage and staff indicating which entrance to use.

Travel and car parking

There will be free (no permit required) car parking available at the Centre for Sport and the road leading up to this. If this car park becomes full then Car Park 1 will be open and available for use. Please note Car Park 1 is a 5-10 minute walk from the Centre for Sport. Car parks are shown on the Frenchay Campus map. To ensure as many people as possible are able to park close to the Centre for Sport please minimise the number of cars you bring by sharing with your guests where possible.

What to wear

We recommend that you wear smart clothing. The gowns are traditionally made to fit onto buttons, so if you are wearing clothing without buttons you may need some safety pins to keep it in place. Please wear soft shoes/trainers when you arrive as no heeled shoes can be worn in the Sports Hall due to the type of flooring. There will be protective floor covers in the photography studios so that you can change into whichever shoes you would like for your photographs, including heels. 

If you can’t attend due to a COVID-19 diagnosis or travel ban

If you are unable to attend due to COVID-19 you will be able to get a refund on your robe hire, change the hire to a home delivery, or postpone the hire to a later date. Please see our terms and conditions for full details.

Eligibility

In order to hold photo days when more people will still be on campus we have chosen to hold these in June before many of you will have received your final marks and confirmed completion of your degree. This will mean that there is a chance some people will have a photo taken but then not complete their degree – something that would not normally be allowed but we have made an exception for in these unprecedented circumstances. We ask you not to register for a photo day if you know of a reason that you will not complete your degree before August, and we stress that any photographs taken will not be proof of degree completion.

Costs

The cost of academic dress will be as below. The cost of different photography packages will be available to view on the registration site, with the basic package starting at £30.  

  • Bachelor: £15 
  • Master: £20 
  • Doctorate: £25 

Please note: We are still planning to hold in-person ceremonies in the future which will include the opportunity to buy a professional photograph. Robe hire costs for photo days will be at our special photo day rate, but costs for hire for a ceremony will be charged at a normal rate. If you want to attend and wear a gown at both you will have to hire a gown twice.
