Travel cost reimbursement
UWE Bristol recognises that travel costs can be a barrier to attending our Open Days and is happy to provide support for these costs. Please make sure to read the terms and conditions below.
How to claim
A link to our travel reimbursement claim form will be emailed to everyone that attended our Open Day on 10 October 2026 or 21 November 2026 after 16:00. Please ensure you sign in on the day at one of our sign-in points to receive the email containing the claim form.
You will have ten working days to complete the form, please read the terms and conditions below for more information.
Terms and conditions
- This offer is for visitors who are attending an On Campus Open Day at the UWE Bristol on 10 October 2026 or 21 November 2026.
- The travel cost reimbursement is available for train fare, bus fare or mileage only.
- We can only accept one claim per prospective student for a single visit, and a maximum of one claim per household.
- You must provide evidence that you have paid for travel to our Open Day, for example, fuel receipt, train tickets/booking confirmation, bus/coach tickets.
- You must provide a form of identification that matches the name on your Open Day registration. Acceptable forms of identification include a photograph or scan of the following documents: provisional or full UK driving license, passport, birth certificate or utility bill.
- Reimbursement is offered as a fixed amount based on the distance between your home postcode and the postcode of the campus you visited for your Open Day.
- Your home postcode will be verified against the details provided on your Open Day registration form.
- Reimbursement amounts:
- 15 – 50 miles: £20
- 51 – 100 miles: £35
- 101 and over miles: £50
- Unpaid carers, care leavers, estranged students and refugees can claim £50 regardless of distance as part of our UWE Cares programme.
- Please note, that we will only reimburse you up to the maximum amount based on where you have travelled from. If your travel was more than this amount, please still submit your proof of travel but only claim for the maximum amount.
- We will use Google Maps to calculate the distance travelled using your home postcode and the postcode of the UWE Bristol campus that you attended to determine a claim.
- Applications must be made via the travel reimbursement form, we will not accept applications via email, handwritten, or in any other format.
- The travel reimbursement form will open for applications after each event and will close ten working days later:
- Applications for the 10 October Open Day will open on 10 October and close on 23 October 2026.
- Applications for the 21 November Open Day will open on 21 November and close on 4 December 2026.
- Applications submitted after the closing dates cannot be processed.
- Payments will be processed after the event has taken place and will only be issued to attendees who were present on the day. You must sign in on the day at one of our sign-in points to be eligible for reimbursement.
- Please allow up to fifteen working days from the application closing date to receive your payment link. You must then use the link to submit your reimbursement request and provide your bank account details for the reimbursement.
- After receiving the payment link, you will have 30 days to submit your reimbursement request. Requests received after 30 days will not be processed.
- Once you have submitted your payment form, please allow fourteen working days to receive the payment.
- Accepting a travel reimbursement payment does not commit you to applying to UWE Bristol.
- The University reserves the right to withdraw or change the terms of this offer at any time and no compensation shall be payable to you as a result of any changes. The University’s decision on whether to award a contribution is final.
- We may decline or limit reimbursement if:
- eligibility criteria are not met
- the claim is late
- receipts or tickets are missing, altered or do not match the journey you have described
- the postcode we have on your Open Day registration does not match the journey claimed for; or
- we have reasonable grounds to suspect fraud or misuse.
