Christmas Arrangements

Our Frenchay Satellite Unit (2B030) will close at 16.30 on Friday 18 December and will re-open at 09.00 on Monday 4 January 2010. Please send any work required during the closure by post to Emersons Green.

The main unit at Emersons Green will be open as usual EXCEPT for Christmas Eve (Thursday 24 December) when it will be closed all day. The unit will remain closed until 08.30 on Monday 4 January 2010. No print or stationery orders will be processed or delivered during this time.

Please send your stationery and print orders to us by Friday 18 December to ensure delivery on or before Monday 4 January. If you have any large orders that need to be delivered early in the New Year please contact us immediately to allow us to make appropriate arrangements.

We are about to enter our busiest time of year and it would help us tremendously if work for printing is submitted as soon as it is ready rather than holding on until closer to the date you need it back. The more time you give us to complete your work the better. We will send the work back to you as soon as it has been completed unless otherwise instructed. You will get an automated e-mail to confirm the job has been dispatched from Emersons Green.

Annual Stock Take

We shall be conducting our annual stock take from Monday 3 August and this normally takes between 2 and 3 days. We regret there will be delays in responding to orders during this period.

Stationery

Stationery orders should be posted to us by Wednesday 29 July for delivery on Monday 3 August and you should plan for not receiving any additional supplies until Friday 7 August. It will not be possible to process any stationery orders until the stock take has been completed.

Printing

Our Frenchay satellite will be closed for a few hours on the morning of Monday 3 August. Printing at the satellite and Emersons Green normally resumes by lunchtime on the first day of the stock take. We would suggest you allow an additional day for the return of any printing during this period.

New Stationery Catalogue

There has been a delay in the national negotiations for the new Stationery price list for 2009. As a result, our further competition exercise to review the University's main supplier has also been delayed. We will not be issuing a new catalogue until the result of this exercise is known, which will probably be late February. In the meantime, please continue to use the 2008 Lyreco Catalogue.

Peak Workload Delays

We have experienced an earlier peak in the demand for our services than in previous years at a time when some of our staff are still on holiday. As a result we have fallen behind with the return of some completed work by about 3 days. All staff are in next week, but it will take a while to recover the position. We very much regret the inconvenience that this will cause and are working hard to meet everyone's deadlines.

Due to the volume of work that is delayed (we print over 2,000 jobs a week) we are not in a position to contact individual customers to advise them that dates will be missed. If anyone has jobs that are desperate could you please contact our reception, either by email (printing@uwe.ac.uk) or telephone (84670). Please quote the print order number (PF number) from the top of the yellow copy of the order form so we can track the job and advise the current position. If you do not have the PF number it may take us a few hours to locate your job, please be patient.

To ease the workflow, please give us as much notice as possible for printing. We would urge you to continue to quote the actual date you require your work returned and to send work to us as soon as it is ready rather than sending large batches. Further guidance is available from this link.

In the meantime please accept our sincere apologies for any difficulties this may cause.

Price Rises

For the first time since 2002 we are increasing the cost of digital printing by approximately 4%. These new charges will apply from work processed after 1 August 2008. The key prices are now:

Bower Ashton Satellite

We regret that the unit had to be closed permanently in June 2008 as the running costs exceeded the income generated. The Faculty of Creative Arts are making alternative arrangements to service the needs of the students. Staff should continue to send work to Printing and Stationery using the internal post. Robin Thomas

Robin retired from the University on 31 March after 19 years' service and to celebrate we held a retirement party for him at The Folly Inn attended by his present and some of his former colleagues. Robin was accompanied by his wife Heather and family. Robin worked in Printing and Stationery's Pre-Press Studio, preparing customers' art-work for printing.

Robin & Heather are about to set-off on their travels to many parts of the world and we wish them well for the future.

Early Closing

Central Networks are switching off the electricity supply to Emersons Green around 16.00 on Wednesday 23 April so it will be necessary for us to close early on this day. You will be unable to contact us by telephone or e-mail once the supply has been switched off. Normal service should be resumed at 08.30 on Thursday 24 April.

Christmas Arrangements 2007

Our satellite offices in Frenchay (2B030) and Bower Ashton (0B15) will be closed on Wednesday 19 December 2007 until 09:00 on Wednesday 2 January 2008. The main unit at Emersons Green will be open as normal until the University shuts down for Christmas on Friday 21 December.

If you are aware of any large printing or mailing requirements to be delivered between Monday 19 December 2007 and Friday 4 January please contact us as soon as possible so we can plan accordingly.

Postal Strike - Impact

As you will be aware, the Communications Workers Union has announced further strike action. Two 48-hour strikes are planned. The first will begin at lunchtime on Thursday 4th October and ends at lunchtime on Saturday 6th October. The second will begin in the early hours of Monday 8th October, ending in the early hours of Wednesday 10th October. Other unspecified strikes will follow until the dispute is resolved.

As there will inevitably be delays to the postal service, some stationery items may take a while to arrive, in particular rubber stamps. Please allow additional time when ordering stationery during the remainder of the year. We apologise for the inconvenience this will cause.

Stationery Ordering

A circular has been issued today which confirms the change of our general stationery supplier to Lyreco. The opportunity has also been taken to review procedures for ordering stationery and clarify what is deemed to be a stationery item.

The main points are:-

  • All stationery must be purchased through Printing and Stationery Services
  • Faculties and Services may not order stationery products direct from suppliers
  • Orders for non-standard stationery items must be signed by the Dean, Associate Dean (Resources) or Head of Service.
  • Products are being switched to 'environmentally friendly' alternatives, where available.

These changes have been discussed with and are fully supported by Steve West.

Christmas Opening Times

In the week before Christmas (18th - 22nd December) our 2 satellite offices at Frenchay and Bower Ashton will be closed. Please send any work required during this week to the main office at Emersons Green which will only be open Monday - Thursday that week.

Telephone System

A4 Recycled Paper

For some time we have been discussing with our paper supplier the possibility of switching to recycled paper at no cost to the University. We are pleased to announce the switch to a brand of paper called EP4. Key points:-

  • New cost £2.09 per ream (old price was £2.16)
  • Suitable for both laser and ink jet printers.
  • At least 75% of the fibre in EP4 is made from recovered paper
  • Paper is fully recyclable
  • Manufactured in the UK

We have tested this paper and it works well in the high volume equipment, MFDs and ink jet printers. You should start to see the paper arriving next week.

We are also testing various recycled papers for colour printing through our presses and will announce more details when we have them.

John Noble 1952 - 2006

John Noble 1952 - 2006We received the sad news that John Noble, Head of Printing and Stationery Services, died peacefully last Friday evening. John had been suffering from Motor Neurone Disease for the last couple of years. However during that time John continued to work and showed impressive courage in dealing with the disease. The staff at Printing and Stationery are devastated by the news and our thoughts are with John's family at this time.

John's funeral will be on Monday 20 March at the Woodlands Memorial, Earthcott Green, Alveston at 1.30pm. The family would prefer not to receive flowers but instead have asked for donations to buy a memorial bench with any balance going to Marie Curie Cancer Care.

As a mark of respect and to allow all the staff to attend the funeral, Printing and Stationery and its two satellites offices at Frenchay and Bower Ashton will be closed all day next Monday. We are sorry for the inconvenience this will cause, but hope you will understand that we need to be there to say goodbye to a much-loved boss.

Condolences have been sent to John's wife, Sally, on behalf of the University.

Printing Equipment Update

The work over the Christmas holiday went according to plan and we are fully operational again. We now have the backlog of work to process but hope to have caught up in the next few days. Thanks for your patience and Happy New Year!

Christmas Closure (2005)

As you may have read in previous news items, we have been upgrading our main printing machines since July, phasing the installations as workload allows.

The final phase of the installation, which will require us to decommission all the print engines at Emersons Green whilst contractors alter the services for the machines and then re-position, takes place in the week commencing 19 December. For health and safety reasons it will not be possible for us to work in the same area as the contractors so there will be no print production or stationery orders fulfilled after 14:00 on Friday 16 December from the unit at Emersons Green.

Our satellite units at Frenchay and Bower Ashton will be open as usual between Monday 19 and Wednesday 21 December but will be closed on the Thursday and Friday and a small team will be manning the office at Emersons Green to support the Satellites. The satellite units have limited capacity and printing options so should not be relied on to provide a full service without first speaking to our Production Manager, Roland Cowley (ext 84672, roland.cowley@uwe.ac.uk).

Please submit any print or stationery orders required for week commencing 19/12 by Monday 12 December at the latest to allow us time to schedule and produce your work.

The unit will reopen for business on Tuesday 3 January.

2006 Calendars

We are beginning to receive enquiries about next year's calendar. We regret to advise you that the University is running behind on the design of its calendar. We may not be in a position to commence distribution of the calendars until the middle of January due to the lengthy production timescales, though we will be exploring other options to keep the delay to a minimum. Frenchay Satellite

This weekend (29 and 30 October) we are replacing the main production printer at our Frenchay Satellite (2B030). The unit will close, as usual, at lunchtime on Friday and the plan is for the new machine to be operational on Monday morning.

With a machine of this size and complexity it is not possible to guarantee it will be fully productive on Monday morning. We do have a smaller machine in the room for very urgent work and, using the new technology that has already been installed and tested, we are now able to electronically capture jobs submitted to Frenchay and print them at Emersons Green. With these measures in place we hope to mitigate any disruption that might occur.

Telephone System Problems - Resolved Tuesday 25 October

We have been having problems with our phone system since Friday 21 October. The problem appears to occur for internal calls between Emersons Green and Frenchay campus. We believe internal calls to and from other campuses are not affected. The problem manifests itself by the call connecting briefly and then dropping out. We have the engineers working on the problem at the moment but do not yet know how long this will last. Please drop us an e-mail if you have an urgent problem. Glenside Satellite Closure

It is with regret that we have to announce the permanent closure of this unit from lunchtime on Tuesday 6 September 2005.

The photocopying machine in the Glenside satellite was over 15 years old and was beginning to show its age in the quality and reliability of its output. With the introduction of digital printing we are hoping to improve the quality of the output, but also reduce costs to the University in the running of its printing and stationery. Falling volumes going through the Glenside satellite and the cost of connecting the room to the UWE network, means in consultation with the faculty, we have taken the reluctant decision to close the unit.

In its place Printing and Stationery plan to manage your printing needs from its premises at Emersons Green with a consolidated number of machines producing a better output.

We would be grateful if you could post your print requests to us, allowing an additional day for the post to be delivered here and a further day for the print to be returned. Please address your envelopes:-

Annual Stock Taking (2005)

Stock Taking will be taking place at Printing and Stationery Services from 1st - 3rd August 2005 and during this time we regret that no Print or Stationery orders can be processed. The Satellite units will be closed for business on Monday 1 August. It would be advisable that staff place any orders for fulfillment during this period well in advance. This was first publicised in June's Bulletin.

Christmas Closure (2004)

The main production unit at Emersons Green will close at the end of business on Friday 17th December 2004 and re-open on Tuesday 4th January 2005.

Exceptionally, a limited copying service will be available at both the Glenside and Frenchay satellite units between 8.30am and 5pm Monday 20th Tuesday 21st and Wednesday 22nd December.

Customers are advised that for delivery of goods prior to the closure of the main production unit, orders must be received no later than Monday 13th December.

Replacement Photocopiers

We have now completed the installation of 93 new Canon MFDs to replace the ageing fleet of Xerox photocopiers. The new MFDs (Multi-Function Devices) not only provide a modern digital copying facility but also, for staff, offer fast network printing at the cheapest cost to the University and the Faculty or Service. The new devices are gaining wide acceptance and are being well-used in most areas.

The next step in the project is to replace the low-volume machines (those currently producing less than 3,000 copies per month). We will be testing two low volume Xerox machines over the next fortnight and hope to start deployment by the end of November.

Laser Print Project - Latest

We are now able to move this project to the rollout phase. We have been waiting to get the central monitoring software set-up and configured correctly. This is now working and will now advise members of staff responsible for each new Canon machine when the machine requires attention, when toner has been automatically ordered and that an engineer visit has been requested by the machine.

51 machines have been scheduled for installation over the 15 days commencing 20 September.

We are also commencing surveys for further machines with the aim of completing the replacement of all Xerox copiers that have averaged more than 5,000 copies per month by the end of October.

The lower volume machines will be reviewed and replaced over the coming months.

Temporary Photocopiers

Laser Print Project - Update

We have now installed 23 Canon machines in various locations around the University. These are operating both as walk-up photocopiers and network printers. The initial reports we are receiving is that these are working extremely well and efficiently. The ability to print documents directly from your PC and have them stapled waiting for collection is particularly useful to a lot of people.

We have issued questionnaires to the faculties and services who are using these new machines to formally gauge users' opinions and these results will be fed back to the Project Board for approval to deploy across the University.

We are now planning the rollout of the next 100 machines; these will include student as well as staff-accessed machines. This tranche will cover machines that currently exceed an average of 5000 copies per month and we are planning, together with IT Services, that the machines will be in place by the beginning of September.

If you are still using a Xerox photocopier and you are not satisfied with either the quality of the print or the noise the machine is making PLEASE place a fault call with Xerox on 0870 9005501, quoting the machine's serial number.

Printing and Stationery Telephones

Apologies to any of our customers and suppliers who were unable to contact us by telephone yesterday. We were unable to make or receive external calls from the early morning until about 2.45pm yesterday. The problem was resolved by Telewest.

New Guillotine

This month we have taken delivery of a new power Guillotine. We use this to trim paper to size and it replaces our old machine that was over 23 years old. The new machine has a more sophisticated control mechanism and will be linked to a PC to allow custom settings to be stored. It took 3 days to remove the old machine and install the new one. The machine is very heavy and had to be delivered in pieces for assembly on our shop floor. We are hoping for many years service from this new machine.

Scanning Documents to Email

A new service we are able to offer is the ability to scan documents, convert them to monochrome PDF or TIFF format and email them to you. The cost is from £1.65 per document, dependent on the number of pages in the document and how much effort you want us to expend cleaning up the electronic file. We can scan sizes between A5 and A3, single or double-sided, in resolutions of up to 600 dpi. To take advantage of this service, send your originals to us using a print order form and clearly mark the special instructions "Scan to Email" and include the recipient's UWE email address. Additional charges would apply if the pages are bound and could not be separated, e.g. a book.

Why not get an electronic copy of your original when sending us your print job?

Did you know that if we convert the file to TIFF format you can then covert the document back to text upon receipt? All you would need to do is save the document and open using Microsoft Document Imaging. Select "File" then "Send Text to Word."

Laser Print Project - Update

In the last month we have been testing the new machine from Canon - the iR4600N - and everything works correctly. We are now conducting surveys for the pilot installations and are planning the installation of 20 machines throughout the University.

We have also received financial sign-off for the project. The presentation on this site has been updated to show the revised dates for the project as a result of these changes.

Microsoft Publisher

We are now able to accept original artwork produced in all versions of Publisher up to 2002. We can accept the work on floppy disks, CDs or Zip Disks. Work can be emailed to us, but only by prior arrangement and a print order form MUST be completed and posted to us.

Xerox Photocopiers - Service Calls

We have today met with Xerox to discuss the servicing of the existing photocopier fleet. They are committed to maintaining this fleet and:
* have confirmed that every machine remains under maintenance contract
* want to maintain their machines for as long as possible
* are committed to raising the copy quality to an acceptable level to maximise usage.

If a Xerox copier is faulty or the copies it produces are not of an acceptable quality, please place a service call with Xerox and an engineer will attend. If the machine cannot be brought to an acceptable copy quality Xerox will work with Printing and Stationery to swap the machine for a more reliable model as quickly as possible.

If you feel you are not receiving the correct level of service from Xerox please contact Simon Hampton-Matthews and the matter will be investigated.

Colour Copying Charges

As a result of improvements to our service and cost savings we have gained as a result, we are reducing the cost of colour copying. Sadly, this can only apply to jobs sent for printing to the main unit, not any of the satellites, but we are reviewing this position and hope to be able to announce an extension of these new charges shortly. The new charges are shown on our Print Orders page.

Laser Print Project - Latest!

We currently have 8 machines installed but have discovered a technical issue around printing onto letter-headed paper that would be difficult to manage. As a result, Canon have offered us the IR4600 machine for deployment throughout the University. This is a 46 page per minute device and has only just been launched. We will be testing this unit at Printing and Stationery Services between 22nd March and 2 April. If the testing is successful we will install these devices in up to 20 sites around the University as part of the pilot phase.

New Paper Supplier

We have recently changed our paper supplier to gain cost savings for the flat sheet paper we use in our main print room and to make the service more efficient. The new supplier is Antalis who are on the national paper contract for HE establishments. The main change you will notice is the change of A4 and A3 paper being delivered for general use. The new paper, known as "Yes Bronze" is identical quality to the Xerox Blue Wrap. If you have any queries regarding the new supplier then please call our main telephone number - ext 84670.

Electronic Stationery Orders

The new Finance system, Agresso, has a stock control module that we may be able to use to permit Faculties and Services to order Stationery from an on-line system. As it would be part of the finance system, charging would be automatic and orders would be received in Printing and Stationery seconds after authorisation. This would reduce the turnaround for orders by at least a day. The system would also hold a complete catalogue and price list, visible to staff placing orders.

We have only carried out preliminary investigations into this system so it is too soon to say when it would be available - there is a lot of work to be done to convert from our current method of order processing. This system would not be launched until the initial phase of Agresso has been rolled out to the University, so we are probably looking at late 2004 before the system can start to be implemented. Bower Ashton Satellite

Our new satellite printing facility opened in Bower Ashton in August 2003. The unit offers high quality colour printing, and colour copying. It is possible to copy non-paper media, such as textiles and ceramics (but only onto paper or card!). See the Services page for opening times.
