Annual Stock Take

We shall be conducting our annual stock take from Wednesday 1 August and this normally takes between 2 and 3 days. We regret there will be delays in responding to orders during this period.

Stationery

Stationery orders should be posted to us to arrive by Monday 30 July for delivery on Wednesday 1 August and you should plan for not receiving any additional supplies until Monday 6 August. It will not be possible to process any stationery orders until the stock take has been completed.

Printing

Printing activity normally resumes by lunchtime on the first day of the stock take. We would suggest you allow an additional day for the return of any printing during this period.

Skyline Upgrade Completed

The system has been updated and you should notice an improvement in the speed of PDF conversion. One consequence of this is that only the FIRST page of your document will be available to view. We strongly recommend you download the complete PDF and check it looks how you expect before submitting the print request. If you have any questions please contact us.

Skyline Closing for Essential Upgrade

On Friday 10 February our electronic submission system , Skyline, will be inoperative. This is to fix an urgent problem with the PDF converter. At this stage it is not known how long the system will be down but we are expecting it to be operational later on Friday afternoon. If you have any urgent jobs you need to submit please do so on Thursday. If you are reading this on Friday please contact us if your job cannot wait until Monday.

We apologise for any inconvenience this will cause. The fix should deliver a faster and more accurate PDF converter.

We've found a pair of cufflinks in a chrome-plated box at the bottom of a pallet of paper sent for recycling. Contact us, describe them and we'll send them back to you!

Retirements and Restructure

On Friday we bade farewell to Roland Cowley, Brian Ainley and Carol White who have now retired and Andy Cotton who has opted to leave the University. We shall miss their knowledge and experience in the coming months.

Frenchay Satellite Closure

We regret to announce that Printing and Stationery Services (PSS) will be permanently closing the satellite unit on Frenchay Campus (room 2B030) at 12:00 on 28 October 2011. Please ensure that all work is collected before this time.

This closure has been brought about by a declining volume in print demand and the need to deliver 25% savings against our budget. To achieve the saving we have had to reduce our production headcount by 4 posts and this inevitably means we can no longer split our resources between two sites.

We will continue to serve the University's high volume print demand from the main unit at Emersons Green. Work may be submitted through the internal post or by using our on-line print submission service known as "Skyline". Please remember the break-even point for sending work to PSS is 100 pages and print runs over 250 pages should always be submitted to PSS to take advantage of the lower cost.

We welcome work from outside the University and wish to increase this business. If you know any organisations who need any form of printing and would welcome an approach please pass their contact details to us - printing@uwe.ac.uk or by calling 0117 328 4670.

Copyright Licensing Agency Annual Survey

The Copyright Licensing Agency (CLA) will soon be conducting its annual survey of copyright material being photocopied in the University. The survey will be conducted by the CLA at selected photocopiers from 24 October to 2 December 2011 within the departments of two faculties:

  • Health and Life Sciences
  • Arts, Creative Industries and Education.

Teaching staff or administrative staff copying on their behalf, photocopying from books, journals or magazines will be asked to photocopy a single sheet that identifies the book (title or verso page). If photocopying a journal or magazine the identification of the relevant article is also required. A sticker showing the number of copies made must be fixed to the identification sheet and placed in the yellow box by the photocopier. Stickers and boxes will be supplied by the CLA and placed by all participating photocopiers. Staff in these departments are asked to familiarise themselves with the red instruction posters that will be displayed next to the relevant photocopiers during the survey.

Canon MFP/D Servicing

We have become aware that Canon have been unable to respond to some service calls. If you have placed a call with Canon and have not seen a technician within 4 working hours of the call can you please call Printing and Stationery Services on extension 84670 with the following information:

  • Serial Number of the machine
  • Nature of fault
  • Date and time call logged
  • Your name and contact details.

Anyone answering the phone will be able to log this information for you.

We are aware of the problems this is causing and are working with Canon's senior management to resolve the issue as soon as possible.

We are very sorry for the inconvenience.

Frenchay Satellite

To manage our resources effectively over the summer months our Satellite office at Frenchay Campus, room 2B030, closed on 4 July 2011.

It will re-open when work demands increase. Please send any print work to Emersons Green as normal.

Recycled Alternatives

We are pleased to offer alternative products that will save you money and are more environmentally-friendly than current products:

Longbow Printer Cartridges

These are now available to order for a most of the printers installed in the University. Some of the range have been tested by ITS and found to be perfectly acceptable replacements for the original equipment manufacturer's (OEM) cartridges. They are guaranteed to produce the same page yield and print quality as the OEM and in many cases can produce up to 10% more yield than the OEM equivalent. Page for page the cost saving Longbow products can provide against the OEM equivalent can be up to 90%.

The cartridges are fully guaranteed for 2 years and the guarantee extends to the machine in which it is used.

100% Recycled Paper

We now stock two additional types of A4 paper as alternatives to EP4. They are both 100% recycled and are recommended by Greenpeace Germany. The difference between these papers and EP4 is the amount of brightening agents used in the production process, instead the colour is set by controlling the quality of the waste paper used at the beginning of the process. The two brands are:

  • Steinbeis Classic White - white with a sepia tinge £2.56 per ream, saving £0.49 per ream
  • Steinbeis Pure White - an off white colour, £2.96 per ream, saving £0.09 per ream

The paper runs well through most printers and is ideal for internal use.

Network Fault

We would like to apologise to all our customers for the silence this morning. Our data link to Frenchay campus was damaged over the weekend resulting in the loss of all network access, including telephones. We were completly cut-off from the outside world. BT have identified and repaired the fault and we were reconnected just after 14:30 today.

We are very sorry for the inconvenice this caused but it was totally outside our control. Normal service has been resumed!

Christmas Arrangements

Printing and Stationery Services at Emersons Green and Frenchay (2B030) will be open as usual in the days leading up to Christmas EXCEPT for Christmas Eve (Friday 24 December) when we will be closed all day. The unit will remain closed until 08:30 on Tuesday 4 January 2010. No print or stationery orders will be processed or delivered during this time.

Please send your stationery and print orders to us by Friday 17 December to ensure delivery on or before Tuesday 4 January. If you have any large orders that need to be delivered early in the New Year please contact us immediately to allow us to make appropriate arrangements.

Your Assistance Please!

We are about to enter our busiest time of year and it would help us tremendously if work for printing is submitted as soon as it is ready rather than holding on until closer to the date you need it back. This helps us control the overall cost of print to the University. The more time you give us to complete your work the better. We will send the work back to you as soon as it has been completed unless otherwise instructed. You will get an automated e-mail to confirm the job has been dispatched from Emersons Green.

We now have our electronic submission system working which means you don't have to find order forms and envelopes. Details are on this page.

Important information regarding HP cartridges

Due to a high worldwide demand for certain ink and toner cartridges, Hewlett Packard (HP) are currently experiencing difficulties in producing stock to meet consumer demand. Therefore there may be a delay in obtaining certain items that have been placed on long term shortage.

This problem does not just affect suppliers for UWE; there are many retailers who are having trouble obtaining stock.

Please continue to order your ink and toner in the usual way. If your item(s) experience the above problem then we will contact you to advise of the delay and an estimated delivery date for your item(s). In the event of an item no longer being available we will contact you to discuss alternatives.

Ordering Toner for Canon MFPs

Due to the difficulties of keeping contact details updated, especially with all the organisational changes that have taken and will take place, we have decided to simplify the process for supplying toner for the Canon MFPs (photocopiers).

With immediate effect, Canon toner cartridges should be ordered on the stationery order form. These will be supplied without charge. Please manage your stock levels appropriately - do not hold more than one spare cartridge for each machine. If you have a large number of machines under your control you should be able to hold a smaller quantity. You should receive replacement cartridges within 2 working days of placing the order.

Please avoid placing separate stationery orders just for toner cartridges as this increases the amount of administration at Printing and Stationery Services; add to your regular stationery order instead.

If you have a large stock of unopened cartridges and wish to clear some space please return them via the internal post to Printing and Stationery, Emersons Green.

Empty cartridges should be placed in the cartridge recycling bins located throughout the University.

You should continue to order staples for the machine from Canon by calling 0844 8920844 and quoting the machine’s serial number.

Sending print requests electronically

If you have an electronic copy of the document(s) you want printed you may now send these to us electronically. You simply upload your document, tell us how you want it printed then wait for its return. OK - there's a little bit more to it than that so click here to read more...
