Creating Your Document

Items to check when preparing your Word or Publisher files to send to Printing and Stationery Services for printing, whether you are sending in as hard copy for us to scan or electronically:

  • All documents to be supplied in A4 portrait unless the document/page has to be set to landscape. Even if you want the pages printed reduced, enlarged or two pages on a sheet, format your document as A4 - we have sophisticated software that will manipulate the A4 document into your desired format.
  • Please check your document properties are set to A4 - we regularly get documents in Letter size that then look odd on the printed page.
  • Ensure when you save your document, you embed all fonts (see below) and graphics/pictures.
  • If pages are to be numbered, please ensure the right hand facing page always has an odd number. Insert blank pages where necessary to ensure when double-sided, chapters start on an odd-numbered page.
  • Front and back covers are not normally numbered or included in the numbering scheme. The easiest way to ensure this does not happen is to create the front cover as a separate document.
  • Ensure margins are at least 2cm (20mm) from both edges to allow for tape binding, 2 or 4 hole punching and DigiCoil books.
  • If a job requires tape binding or DigiCoil finishing, then these jobs must have card covers which will be formatted by ourselves to UWE standards.
  • If your job requires the UWE logo please click here to download the correct logo for your job. Note that the links for each type of logo are on the left-hand side of the new page. If your Word document is going to be printed in mono (black only), please use the black and white jpeg version, not a colour version.
  • When used, the UWE logo should always be positioned in the top left hand corner of the artwork.

Keeping the Cost Down

In order to minimise costs please think about the following:

  • Double siding where possible
  • Stapling in the top left hand corner or down left hand side is much cheaper than tape binding or spiral bound books.
  • Fly stitching (printing 4 x A4 pages on a sheet of A3, folding in half and stapling in the middle) is now available as an on-line option and is cheaper than tape binding.
  • Don't print in colour - it costs 10 times more than mono!

Embedding Fonts

When sending files to Printing and Stationery electronically it is vital that you embed the fonts if you have used non-standard fonts. Please ensure you have only used TrueType fonts. If we do not have the font you have used on our systems it will automatically be substituted, resulting in a disappointing product.

Excel

Sadly, there is no way of embedding fonts in Excel. If non-standard fonts are used they will automatically be substituted when opening on ANY machine that does not have these fonts loaded. This is outside our control.

Powerpoint

With your presentation open, click on Tools, Options, Save then tick 'Embed TrueType Fonts'. Ensure the bullet is next to 'Embed all characters'. Click OK and save your presentation.

Publisher

Use the 'Pack and Go', 'Take to a Commercial Printing Service' feature from the File menu. Submit the .puz file created, checking the size of the file before sending as you may not be able to e-mail a document larger than 50Mb. If this is the case please burn to CD, DVD or memory stick.

Word

With your document open, click on Tools, Options, Save then tick 'Embed TrueType Fonts'. Do not tick 'Embed characters in use only'. Click OK and save your document.

Embedding Pictures

Whenever you use a picture in your document you must use the best quality version you can find. Ensure you insert the picture into your document rather than inserting a link to the picture.

Print Order Form

The final stage in the process is to complete a print order form, available from your Faculty or Service Administration Team. Please ensure you complete all fields including the Cost Centre and have the form signed by someone authorised to sign against your cost centre. Retain the yellow copy of the form for your records.
