About Short Loan
Where are the Short Loan Collections housed?
At Frenchay Library the collection is housed on Level 2 next to the library Service Desk. At St. Matthias the Short Loan collection is kept in a room to the right of the Issue Desk. At Glenside library the short loan collection is next to the Reception Desk. Please see Glenside short loan for further information. At Bower Ashton the short loan collection is located behind the issue desk.
Can material in Short Loan be borrowed?
Materials in Short Loan may be available for loan and may be borrowed for 4 hours (or overnight). Fines of 30p per hour are charged to encourage users to return them on time. Reference material can also be placed in the collection when it needs extra security or when a large number of students are using it. This material may be labeled for use in the library or Short Loan area only. Alternative loan periods are also available for items held outside Short Loan.
Adding items to Short Loan.
Before requesting items to be put in Short Loan, please consider the alternatives for essential reading, such as recommending purchase by students or use of electronic resources or study packs. Please see the Reading Strategies section for further information.
How do I ask for books to be added to Short Loan?
If you would like to add books to Short Loan please complete a Short Loan Request Form for each batch of requests. Books can be handed in at the Issue Desk as long as a request form has been fully completed. If you have a list of books you would like to add, please forward or e-mail this to your Subject Librarian making sure that you have included the course details.
Can I add my own books to Short Loan?
It is possible for staff to add personal copies of books to Short Loan however please note that we cannot guarantee the safety of the item. It will also be necessary for us to process and attach labels to your books. Therefore, we recommend that you ask your Subject Librarian for a library copy to be placed in the collection or for a library copy to be ordered.
How many copies of books can I add to Short Loan?
It is possible to place more than one copy of a book into Short Loan. This may be useful when there are limited copies available and when large numbers of students need to access them in a short space of time. However, placing all copies of an item in Short Loan can disadvantage off campus students so you may like to discuss alternatives with your Subject Librarian.
When can photocopies be added to Short Loan?
Under the terms of the HE Copyright Licence, copyright fee paid "master" copies of articles or book chapters may be added to Short Loan for copying by groups of students if:
- UWE owns an original published edition of the book, loose leaf work, law report, or journal
OR - The British Library or other similar service has supplied a copy, with copyright fee paid. The supplied copy must be kept with the original cover sheet (to be kept by the library)
OR - The copyright holder has granted permission and the original document granting permission has been kept.
In addition:
- Photocopies from one publication must not exceed one chapter from a book, or one article from a single issue of a journal or a set of conference proceedings.
- From an anthology only one copy of one short story, or poem, not exceeding 10 pages can be made.
- From a published report of judicial proceedings a copy of the entire report of a single case may be made.
How do I make a request for photocopies to be added to Short Loan?
If you would like copies of articles to be added to Short Loan or would like to discuss alternative options please contact your Subject Librarian. It is useful for them to know what material may be in great demand.
Can multiple copies of the same article be added to Short Loan?
Under the HE licence students are permitted to make copies from library photocopies. Therefore the library will not add multiple copies of the same article to the collection.
How much notice do I need to give to add items to Short Loan?
The library needs as much notice as possible to add items to Short Loan. This is due to the time required to check copyright clearance and to process your requests. This is particularly important at the start of the academic year when a high volume of requests is received. There may also be occasions when items you would like to add are on loan and in these circumstances advance notice is essential.

How do students find photocopies I have added to Short Loan?
Individual photocopies are labeled with your name, bound, security triggered and added to the Library Catalogue. They are filed alphabetically under your surname in the collection. At Frenchay campus library Papers on Psychology (POPS) are filed separately and alphabetically according to the name of the author.
How can I see what items I have placed in Short Loan?
Using the Library Catalogue you can see a list of the items you have added to Short Loan by:
- Clicking the 'short loan' button at the top of the screen
- Typing your surname in the search box and
- In the 'desk' box, select 'Frenchay short loan desk' from the drop down list
- Click 'instructor' to process the search
- Select your name from the resulting list
A list of the items you have placed in Short Loan should be displayed.
On the Library Catalogue you can also locate photocopies by searching using the author's name and/or the title of the article in the 'quick search' screen.
Electronic articles.
An alternative to adding photocopies of articles to the collection is to request for an electronic copy to be digitised. This may be particularly useful for courses where there are large numbers of students or where a high proportion of students is studying at a distance. Providing material electronically is also a more secure option. If you would like more information on this please contact Anne Petrie (the Heron Administrator) or your Subject Librarian.
