Delivered Catering: Terms and Conditions

Booking Information

1. All catering bookings are to be made via the UWE catering website, unless under special circumstances, a request to Catering Services is to be made via email to cateringservices@uwe.ac.uk.

2. All amendments should be made in writing via email, to cateringservices@uwe.ac.uk.

3. Cancellations or reductions in numbers made after 10:00 on the day prior to delivery may be subject to a charge, in part or in some instances, in full.

4. Additions to catering requests for food or drinks, or an increase in numbers received after 10:00 on the day prior to delivery, will be subject to the late booking surcharge in part, or in some cases where increases are considered significant, in full.

5. Bookings can be made up to the day before the requested delivery date via the website, for same day deliveries an emailed request must be sent to cateringservices@uwe.ac.uk.

6. Bookings (including voucher requests) received after 10:00 for next day delivery, will incur a late booking charge of £25.00.

7. Late bookings will be subject to a limited choice of buffets and foods that can be provided. We will make every effort to accommodate your request, but reserve the right to amend the booking to food available at short notice.

8. Standard delivery times for delivered catering are: Monday to Friday, 08:00 – 17:00

9. Deliveries requested out of the standard delivery times are subject to the following out of hours charges:

  • Monday – Friday £125.00
  • Saturday £150.00
  • Sunday £250.00

Dietary Requirements

1. We provide a wide range of special buffet options to cater for many food sensitivities, please state any dietary requirements when making your booking.

2. Although every care is taken when preparing our food to the highest standard, we are unable to guarantee an environment completely free from allergens as our food is prepared in a kitchen containing other sources of allergens.

3. We cannot guarantee meals and snacks are completely nut free, as our ingredients may be produced at a facility that handles nuts. We are therefore unable to offer a nut-free buffet.

Delivery

1. Food provided by UWE Hospitality Services, under the Food Safety Act, MUST be consumed within two hours of delivery.

2. Our aim is to deliver catering containing drinks only, 15 minutes before the event start time. Deliveries containing food will usually be delivered 30 minutes before the event start time. There may be occasions during busy periods where the delivery may be made slightly outside of these times.

3. If you require delivery at a specific time to avoid interruption of an important meeting, for example – interviews, please identify this at the time of booking to avoid any unnecessary interruptions.

4. Our guarantee is that our equipment will hold drinks at the optimum temperature for up to two hours. Drinks consumed after this time will be past their best.

5. If you require catering to be cleared at a specific time, for instance, if a room is in use after your booking, please state the time at the time of ordering. We will endeavour to meet the stated time where possible.

6. Bookings that require clearing/collecting outside of standard working hours will be subject to the out of hour’s charges.

7. Any catering equipment that is not returned with the collection, such as cup and saucers that have been moved to a different room may be subject to a charge.

Payment

1. All bookings must be made with an internal charge code, or invoice address if booking for an external body.

2. All prices are quoted exclusive of VAT.

3. External invoices will be subject to VAT.

Vouchers

1. All requests for vouchers must be sent to Catering Services via the online catering request form. As well as quantity, voucher type (breakfast, drink, lunch), and date of use, to assist catering operations please state the catering outlet(s) and approximate time the vouchers are to be used in the further comments box.

2. Requests must be received no later than 10:00 for next day use. Any requests received after the deadline will incur a late booking fee of £25, or may be subject to refusal as food provision orders and staff resources will have already been placed.

3. The minimum value for each voucher is a follows a. Breakfast £5.00 b. Drink £1.50 c. Lunch £5.00

4. It is the responsibility of the Faculty/Department to print and distribute the vouchers. A PDF file containing a single page of 10 vouchers will be emailed to the requester only. The vouchers are to be printed on white card or paper, from which the required number of vouchers are to be cut. Any excess or unused vouchers must be destroyed.

5. To prevent unauthorised duplication, please adhere to the following a. Vouchers should be issued to the recipients on the day, preferably as close to the time of their use as possible. b. The email and PDF file should be deleted immediately after the event has finished.

6. Vouchers are only valid for the date and catering outlet(s) shown.

7. Charging will be based on the total number of vouchers transacted through the retail EPOS system. This may be less or more than the initial order.

Catering code of practice

Rules governing the provision of catering services within the University

The sale of food within the United Kingdom is controlled by the Food Safety Act 1990. The University is committed to providing catering services which meet the requirements of the Act and associated regulations.

The University complies with the Act through its Food Safety Policy and Codes of Practice, which are followed by all University-provided catering services and subject to regular audit. General Manager Hospitality has full authority in all respects to ensure compliance with the Act.

The policy of the University is all catering provided within the University is supplied by the University caterers. If they could not themselves deal with a specific booking, they would be responsible for arranging the services of a reputable private catering company having checked public health policy and procedures.

Should staff in a department be considering bringing in their own food for an event, it is important to understand the legal status of food. The Food Safety Act relates only to food that is being sold, but ‘sale’ is defined to include the supply of food in the course of a business, whether it is sold or given away. If a department provides food to visitors to the department, that food would be deemed to have been ‘sold’ and would be within the scope of the Act.

In the event of a prosecution under the Act, such as a case of food poisoning, the onus is on the accused to prove their innocence, by convincing the court that they have taken all reasonable precautions and exercised due diligence to avoid the commission of an offence. Prosecution can carry a fine of up to £20,000 and/or imprisonment of up to two years.

Members of University staff are strongly advised not to make their own private catering arrangements, as in doing so they are taking on a responsibility in law for the supply. This responsibility rests with the University’s catering departments where they are the supplier of catering services.
