Agresso Web Reporting (UE)
Introduction
It is now possible for budget managers to view the financial position of their cost centres via Agresso self service (via a web browser). Users will only have access to projects/cost centres if they have been defined as the project manager in Agresso. Access is restricted to the budget manager only and no other user will be able to view this data.
The initial pilot, starting in June 2009, is for Agresso budget holders who currently have access to Agresso. This pilot will incorporate approx. 40 users across the University.
Assuming the pilot is successful, this facility will be rolled-out to all Agresso budget managers. All of the additional users will not have previous knowledge of Agresso but will be used to receiving management accounts reports in a similar format (GL2 for faculty/service budgets and PL2 for project codes).
Hopefully, the system will be intuitive enough for the limited guide below to covers the basic needs of users. If you would like to discuss the use of the system further or would like detailed training please contact the finance systems administrator. Please contact your management accountant if you would like to discuss the details of your reports in greater detail.
Sign-On
Agresso web reporting has been developed to work with single sign-on (SSO) and therefore you should not need to enter your Name, Client and Password. However, SSO will only work if you access Agresso self service from within the UWE campus.It is possible to access Agresso web reporting from outside of the University but this must be done using external access. Please refer to the external access help page to assist you with using this facility.

To save the above link to the desktop go to File, Send and select “Shortcut to Desktop” option.
Homepage
Once you have successfully signed on to Agresso you will see three categories of report setup on three separate tabs:
- Faculty/Service Budget – This contains non project cost centre codes
- FIN10’s – This contains FIN10 (capital expenditure) cost centre codes
- Projects – This contains project cost codes

To run a list of cost centre/project codes go to the appropriate tab and click ‘Search’ button. By default a list of active cost centre/project codes for which you are the project manager will be displayed.
If you would like to include closed cost centre/project codes change the ‘Status like’ parameter from N to C, if all cost centre codes are needed than enter *.
You can also filter the result set further by entering a value in the Costctre field as detailed below.
Costctre – This can be used to enter a specific cost centre/project code or part of the cost centre/project code followed by the * to display a range of cost centre codes. * also can be used at the front of the cost centre i.e. *30A* will display all the cost centre codes that contain the value 30A. ?30A* will display all the cost centre/project codes that have one character in front of the 30A and anything else after it.
At the end of each change click the ‘Search’ button.
Project List
The result is the list of projects you are defined as the Agresso project manager.
The screen print below shows the results of a search using the FIN10 tab.

Summary Report
In the ‘Links to reports’ field using the drop down arrow there are two summary reports from which the income/costing information can be displayed.
Please note that these summary reports are visible only when the search button has been clicked and a cost centre or a number of cost centre codes are visible:
- Summary Report as at Last Month End
- Summary Report as at Now
These reports show Income, Pay, Non Pay for a specific cost centre and Income, Pay, Non Pay and Contribution for a specific project code depending on which tab is used.
Once the appropriate summary report has been selected a new window will pop up containing income/costing information for the selected cost centre/project code.

Detailed Reports
From the above Summary Report there are a number of reports which can be found in the ‘Links to reports’ drop down list:
- Detailed Report – All Years
- Detailed Report – Current Month
- Detailed Report – Current Year
- Outstanding Commitments
Depending which report is selected a list of transactions will be displayed with the total amount equaling the appropriate column on the ‘Summary Report’.

Transactions
To view an individual transaction, click on the Trans No value (numeric) to display the full details of the transaction. Currently, this may not add much value but in the near future supplier invoices will be scanned and held against each transaction allowing you to view the image.

Printing
Whilst one of the advantages of Agresso web reporting is enabling budget holders to have access to the latest information at any time, some managers may wish to print a copy of the summary report.
To print the data click on the Copy to clipboard button and then paste the data into Excel.

Within Excel you will need to delete column A (as a # is added) and column B (displays line numbers) and then resize the columns to display the full text.
Printing can also be achieved directly from the website. If you right click on the page you wish to print and then select print preview. This will give you various options such as page layout and shrink to fit. However, this printing facility is not as flexible as via Excel.
