Facilities Projects

Customers who would like a project to be carried out by Facilities should complete a Project Request Form. Once the form is completed and authorised by the budget holder, please email the form to: facilities@uwe.ac.uk

On receipt of the form, we will log it into our Project Management System and one of our Project Managers will arrange to meet with you, to discuss your requirements in detail and develop a Project Brief.

The table below gives an indication of the steps and timeframe of the project process for small non-complex projects with an allocated budget of up to £30,000. Projects over £30,000 in value will need to follow the FIN10 process.

STAGE OF PROJECT PROCESS

MINIMUM TIMESCALE

1.

Once you have completed a Project Request Form and had it approved by your budget holder, you can email it to Facilities – facilities@uwe.ac.uk.

2.

Facilities will assign a Project Manager (PM) to the project from the appropriate discipline – Estates, Hospitality, Security, etc.

3.

The PM will arrange to meet with you to discuss and agree the brief for the project.

4.

The PM will put together a project team of all the necessary people who need to be involved with the project.

5.

The PM will develop the plans for the project and produce provisional costings and timescales for your approval.

3 weeks

6.

The PM will then prepare any necessary specifications and tender documentation, gain your approval of these and then put them out to tender.

7.

The contractors pricing for the works will be given a set period of time in which to return their plans and prices.

8.

After analysing the returned tenders, the PM will select the contractor who represents best value for money.

9.

The PM will mobilise contractors, other UWE services, etc to get everything ready to carry out the project works.

2 weeks

10.

Works will then be carried out – this could be anything from large-scale construction projects, to small office moves, (average small project timescale shown).

11.

Once works have been completed, then PM will hand over the project to you, to ensure it has met with your original brief and you are happy with the end result.

12.

Following handover of the project, the PM will meet with the project team to review the project, what went well and what could be improved in the future.

NB.All timescales given above are an indication of the minimum time it takes to complete each of these stages - large or complex projects will take a lot longer to complete.
NB.If the project value is over £30,000, then FIN10 funding will need to be sought, the process for which can take some weeks.
NB. If asbestos removal works are required, a minimum of another 4 weeks will need to be added to the programme.
